The biggest question in an SEO budget is who will make the changes. You can use free tools and do the work yourself, pay a consultant for a few hours of advice, or hire someone to handle the work each month. Those options buy very different amounts of help, even when they're all sold as “SEO.”

What are you paying someone to do?

Imagine two quotes at $1,000 a month. One includes recommendations and a report. The other includes rewriting two service pages, publishing the changes, and checking the results. If you don't have time to update the site yourself, the first quote leaves your main problem unsolved. Ask each provider to describe a month's work before comparing the price.

Be specific about the outcome too. A booked appointment, a qualified enquiry, and a visit to a blog post have different values. If a fee depends on leads, agree on what counts as a lead and how repeat enquiries or spam will be handled.

Also check what your consultant already provides. You may need access to their reports without needing your own subscription to the same software. If a price is advertised as a monthly equivalent of an annual payment, put the full upfront payment in your cash budget.

What do consultants and agencies charge?

Those figures span different markets and scopes; they aren't a price list for your business. A specialist handling a complex migration may quote well outside them.

A small business with someone available to edit the site can buy a narrowly scoped review: identify the most pressing problem, agree on a fix, and have the consultant check the finished work. If nobody can write, develop, or publish the changes, ask for those services in the quote. Otherwise you'll have paid for a plan that sits in a document.

Ask to see an example of the work you'll receive. An audit should make it possible to understand the problem, find the affected pages, and assign a fix. A monthly report should show what changed on the site and what happened afterward, including when the result is still too uncertain to interpret.

A worked budget for a small service business

Suppose you can edit your own site and want help improving three existing service pages. For this example, assume a consultant quotes $100 an hour and agrees to a three-hour review. You use free software and reserve six hours of your own time to make the changes.

This is a planning example, not a service offer or a claim that three hours will be enough for your site. Have the consultant confirm the scope. If you value your own time at $40 an hour, those six hours add $240 to the economic cost, bringing the total to $540 before tax. You still need only $300 in cash for the outside service.

If the review uncovers work you can't do, get a separate writing or development quote before committing to it. Plan the next month's budget around the work left to do and the results you need to review; don't assume the first month's tasks must repeat forever.

Where can you cut costs?

Choose a smaller piece of work that you can finish. Improving an important service page may be a better use of a limited budget than commissioning ten articles you have no time to check. Cancel tools that no longer support a recurring task, and avoid paying two people to prepare the same report.
